Twelve questions we hear again and again from print shops — with short, practical answers.
The price looks off — where do I look?
Open Debug Mode — the bug icon on the price bar. It shows the full breakdown: paper, printing, finishing, profit. Nine times out of ten the odd number is a click rate or a paper price that went in wrong during setup. Fix it on the machine or in Inventory and the costing updates instantly.
Why does the click count double?
Two suspects, both in the machine's "Cost per side" step: the A4/A3 threshold — the length above which a print is charged as A3 (double click); if your contract says "up to 250mm = A4", enter exactly that. And the Duplex multiplier — whether the second side charges a full click (2) or not (1).
How do I change prices without touching costs?
Costs are your real numbers — don't bend them to force a price. Work with profit instead: profit profiles with different markups per customer category, or a manual final price on the line item. And if you want the price to stay fixed no matter what changes, turn on Lock price — the profit adjusts, not the price.
Will the PDF come out EXACTLY like the preview?
Yes — what you see on the canvas is what the export produces: positions, rotations, crop marks, even Cut & Stack numbering (same font size, same angle). If something looks wrong in the PDF, fix it on the canvas — there is no hidden step in between.
How do I delete the demo data?
Settings → Business, section DATA MANAGEMENT. Two buttons: Wipe all data empties the account completely so you can enter your own, and Reset demo data deletes everything and reloads fresh demo content. Both are permanent — that's why they ask first.
Does it work without Gmail?
Yes. Costing, quotes, jobs, inventory — everything works without a Gmail connection. Gmail (Settings → Integrations) is only needed for the email features inside PressCal: your inbox, AI parsing of requests, sending quotes from your own address. Without it, print the quote to PDF and send it any way you like.
What happens if I delete a machine that's used in quotes?
Nothing bad. Deletion is soft: the machine disappears from the pickers for new costings, but old quotes keep calculating with it exactly as before. The same goes for papers, postpress machines and products — your history never breaks.
How many users can I have?
As many as you need. Settings → Team: buy seats (charged per seat, prorated until renewal) and send an Invite new member to your colleague's email. Each member signs in with their own account into the same organisation.
Is my data safe?
Yes — and not just on paper: PressCal is a Google Verified App and has passed an independent CASA Tier 2 security assessment. Access tokens are stored encrypted (AES-256-GCM), every business is isolated at the database level, and you can permanently delete your account and data yourself. Which languages is it available in?
Greek, English, Spanish and Italian. International print terms (imposition, bleed, duplex) deliberately stay in English in every language — it's the vocabulary prepress already speaks.
Comma or point for decimals?
Whichever you prefer — 0,035 and 0.035 read the same, in every numeric field.
I can't find an email — where did it go?
Check the Dismissed folder in the Email page sidebar first — it was probably dismissed by accident. Hit un-dismiss and it reappears normally.
